Order processing
Orders are sent out either by fax or by
e-mail. The supplier simply confirms stock & despatch
by return fax.
Purchase orders :
These are processed at the beginning of each day of
trading and contain the following:
Purchase order number, date & invoicing details
Customer name and delivery details
Product description & quantity
Supplier reference number
Supplier reference
To ensure that the correct goods are ordered and
delivered, all products must have a supplier reference
number. This number is generally one already being
used by the supplier for product reference. It is
input into our E-commerce system and will be appear
against all product descriptions on the purchase orders.
This minimizes the margin for error at both ends of
the ordering process.
Pricing and delivery
A supplier agrees to place their goods in the HorseIT
shop, having negotiated a suitable trade/retail pricing
structure and decided on the most suitable lead time
for deliveries. This is based on the time it takes
from the moment a customer places an order online,
to it being delivered to their door (in working days).
Payment terms & security
The very nature of customers buying online, means
that payment is guaranteed before any goods are despatched.
This avoids the usual problems of chasing payments
for outstanding invoices. The payment method is flexible
so that in can fit into your existing accounting procedures.
Most suppliers are operating on a 30 day basis, which
is the norm. All credit card purchases are processed
using Actinic encryption, which is 128bit when the
industry standard is only 64bit.
Returns & Damages
Customers are allowed to return goods that are damaged
or faulty directly to HorseIT for review to see if
it a manufacturing fault or occurred during dispatch.
If the product is proven to be faulty from the supplier
by mutual agreement, then HorseIT will refund the
cost and postage to the customer and seek a credit
note or refund from the supplier. Any other returns
are postage paid by the customer to HorseIT.
Editorial Copy and artwork
All the editorial copy and artwork is provided and
approved by the supplier. This ensures that all the
information is correct before going online. Images
should be provided either on disk or e-mailed as jpeg
files. If the editorial copy is being specifically
written for HorseIT then it should be e-mailed as
a word document. Shop product search & information
Each product has a detail page that contains a brief
description about the product and its uses, the shopping
basket and check out. There is also the facility for
one or more images, a must for this type of format.
Products are generally highlighted throughout the
site. For example HorseIT has a very comprehensive
book & video section with direct click through to
the shop.
Quality of service
HorseIT aims to provide a high quality of service
to both suppliers and customers alike. It is essential
that orders are fulfilled as quickly as possible to
ensure the fastest delivery turn around. Suppliers
that fail to achieve a satisfactory level of service
will be placed on a probationary period. If no improvement
is shown then HorseIT reserves the right to terminate
trading.
